Create and edit collections, manual or rule-based
Group a shop's products into a manual or smart, rule-based collection from Multi-Store Sync or the Dashboard, and add products, rules and SEO text.
On this page
A collection groups a shop’s products for shoppers. A Manual collection holds exactly the products you add. A smart collection adds every product that matches its conditions, now and in the future. Both Multi-Store Sync inside Shopify admin and the StoreFleet Dashboard read collections live from the shop and work on one shop at a time.
Open collections
- In Multi-Store Sync (Shopify admin): open Products in the app’s menu, then the Collections tab.
- In the Dashboard: open Inventory & Products → Collections and pick the shop in the header. The editor opens in a dialog.
The list shows each collection’s title, Type, Products count and Sort order.
Create a collection
- Click Create collection (Multi-Store Sync) or New collection (Dashboard).
- On the General tab, enter the Title. You can add a Description, an Image URL and a Sort order.
- Choose the type: Manual, or Smart in Multi-Store Sync / Smart (rule-based) in the Dashboard.
- For a smart collection, set its conditions (see below).
- Save: Save in Shopify’s save bar in Multi-Store Sync, Save changes in the Dashboard.
Add products to a manual collection
The products tab appears once a manual collection has been saved.
- Open the collection and go to the Products tab.
- Search for a product (Search products in Multi-Store Sync, Search this shop’s products to add… in the Dashboard) and click Add.
- To take a product out, use the remove button on its row.
- To change the order by dragging, the collection’s Sort order must be Manual order. Change it on the General tab first.
Only the first page of products is listed in the tab; search finds products further down.
Set the rules of a smart collection
- Open the rules tab: Rules in Multi-Store Sync, Rule in the Dashboard.
- Choose whether products must match all conditions or any condition.
- For each condition, choose a field (Title / Product title, Product type, Vendor or Tag), a relation (is equal to, is not equal to, contains, starts with, ends with) and the value to match.
- Click Add condition (Multi-Store Sync) or Add a condition (Dashboard) for more. A smart collection needs at least one condition.
- Click Preview (Multi-Store Sync) or Preview match count (Dashboard) to see roughly how many products match. This is an estimate; the saved collection can match a different set.
- Save the collection.
Edit the search engine listing
On the Search engine listing tab (Multi-Store Sync) or SEO tab (Dashboard), set the Page title / SEO title and Meta description / SEO description, then save.
Delete a collection
- Open the collection and click Delete collection.
- Tick the box that you understand it cannot be undone.
- Type the collection’s handle to confirm.
- Click Delete collection (Multi-Store Sync) or Permanently delete (Dashboard).
Shopify keeps no archived copy of a deleted collection, so there is no undo.
Deleting a collection is Admin only in Approval Settings, and this cannot be relaxed:
- In the Dashboard: the delete is sent to Approvals. Nothing is removed from the shop until a member with the Admin role approves it, even when an Admin asked for it.
- In Multi-Store Sync (Shopify admin): when the workspace has at least one Admin, the delete is sent to Approvals in the StoreFleet Dashboard and the collection stays on the shop until an Admin approves it there. If nobody in the workspace has the Admin role yet, for example because no one uses the Dashboard, Multi-Store Sync deletes it on Shopify right away as before.
See Approve or reject a change.
When changes reach the shop
Other collection changes made in Multi-Store Sync or the Dashboard are saved to the shop when you save. You see Collection saved.
