Issue and manage gift cards
Create a gift card for a customer, adjust its balance, send it, change its expiry or deactivate it, in Multi-Store Sync or the StoreFleet Dashboard.
On this page
Both Multi-Store Sync inside Shopify admin and the StoreFleet Dashboard issue and manage a shop’s gift cards, one shop at a time. Creating a gift card, adjusting its balance and deactivating it are Admin only: they go to Approvals for an Admin to approve (from Multi-Store Sync, only when the workspace has an Admin). See When changes reach the shop.
Open gift cards
- In Multi-Store Sync (Shopify admin): open Products in the app’s menu, then the Gift cards tab.
- In the Dashboard: open Inventory & Products → Gift cards and pick the shop in the header.
Filter the list with All, Active, Deactivated and Expired, or search it. The columns are Gift card, Status, Customer, Balance, Initial value and Expires.
Issue a gift card
- Click Create gift card.
- Under Gift card details, enter a Gift card code of 8 to 20 characters, or leave it blank or click Generate code to have one made for you. Enter the Initial value.
- Under Expiration date, keep No expiration date or choose Set expiration date and pick the date in Expires on.
- Under Customer, you can search for the customer the card belongs to.
- Under Recipient, you can tick to send the card to someone else (Send this gift card to someone else in Multi-Store Sync, Send to a recipient in the Dashboard). Choose the Recipient, and add a message, the recipient’s name and a send date if you want. Leave the date blank to send it as soon as the card is created.
- Under Notes, add anything staff should know. Only staff can see notes.
- Click Save.
When the card is created on the shop, Gift card created shows the full code. It is shown only once, so click Copy code and keep it, then click Done. When the card is sent for approval instead, you return to the gift card list and no code is shown yet; see When changes reach the shop.
Adjust the balance
- Open the gift card. The Balance section shows the current balance and the initial value.
- Click Adjust balance.
- Choose Increase balance or Decrease balance, enter the Amount, and add a Reason (optional).
- Click Adjust balance.
Every change appears under History as a Credit or Debit.
Send the gift card
On the gift card page, click Send to customer (shown when it has a customer) or Send to recipient (shown when it has a recipient).
Change the customer, expiry or notes
- Open the gift card.
- Change the Customer, the Expires on date (leave it blank for a card that never expires) or the Notes.
- Save.
Deactivate a gift card
- Open the gift card and click Deactivate.
- In Deactivate this gift card?, click Deactivate.
This is permanent: a deactivated gift card can no longer be used, and it cannot be turned back on.
When changes reach the shop
Creating a gift card, increasing or decreasing its balance, and deactivating it are Admin only in Approval Settings, and this cannot be relaxed. Changing the customer, expiry or notes and sending the card are not held.
- In the Dashboard: these actions are sent to Approvals. You see Sent for approval — an Admin approves it in Approvals, with View in Approvals. Nothing is written to the shop until a member with the Admin role approves it, even when an Admin made the request.
- In Multi-Store Sync (Shopify admin): when the workspace has at least one Admin, these actions are sent to Approvals in the StoreFleet Dashboard, and you see Sent for approval. An Admin approves it in StoreFleet Dashboard → Approvals. If nobody in the workspace has the Admin role yet, for example because no one uses the Dashboard, Multi-Store Sync writes it to Shopify right away as before.
See Approve or reject a change.
What you cannot do here
- The full code is shown only right after the card is created on the shop. After that, the list and page show the card’s masked code.
- A deactivated card cannot be adjusted or sent.
