Change quantities, add products or custom items, add a discount or shipping to a placed Shopify order, then collect the difference or refund it.

You can change what is on a placed order: quantities, items, discounts and shipping. The Edit page works the same in the Dashboard and in StoreFleet: Inventory Sync. Editing an order’s line items is Admin only, so when you click Update order the edit waits for an Admin to approve it before the order changes.

Open the edit page

  • In the Dashboard: open Orders & Fulfillment → Orders, click the order and click Edit. You need the Admin or Manager role.
  • In Multi-Store Sync (Shopify admin): open StoreFleet: Inventory Sync → Orders, click the order and click Edit. The page is titled Edit order. Edit is not available on a cancelled order.

Change the items

  1. Under Items, use Decrease quantity and Increase quantity to change a line. Set it to 0 to take the line off. Tick Restock item to put removed units back in stock.
  2. To add a product: in Multi-Store Sync, click Add product and pick from the shop’s products; in the Dashboard, type in Search products and pick a result.
  3. To add something that is not a product, click Add custom item, fill in Item name, Price and Quantity, choose Charge tax and Requires shipping, and click Add item.
  4. To lower a line’s price, click Add discount on the line, choose the Type (Fixed amount or Percentage), enter the Value and an optional Reason, and click Apply.

New lines show New. To drop a line you added, click Remove item on it.

Change the shipping

  1. Under Shipping, click Add shipping, enter the Shipping name and Price, and click Add.
  2. To drop a shipping line, click Remove. Undo brings it back before you update.

Update the order

  1. Check the Summary: Updated total, Paid by customer, and either Amount to collect or Refund owed.
  2. Optionally type a Reason for edit. Only staff see it.
  3. Tick Send a notification to the customer if the buyer should be emailed.
  4. Click Update order.
  • In the Dashboard: you see Sent for approval — an Admin approves it in Approvals, with View in Approvals, and you are taken back to the order. The order changes only once an Admin approves the edit, even when an Admin made it.
  • In Multi-Store Sync: once your workspace has at least one Admin, you see Sent for approval. An Admin approves it in StoreFleet Dashboard → Approvals. If nobody in your workspace uses the Dashboard yet, so there is no Admin, the order is updated right away and you see Order updated.

After the update is applied

  • Amount to collect: the order now costs more than the customer paid. Click Send invoice to email them an invoice for the difference.
  • Refund owed: the order now costs less. Editing does not refund by itself; click Refund and follow Refund an order.

In the Dashboard, leaving the page before you update asks Leave without updating?; the changes are lost if you leave.

What you cannot do here

  • In Multi-Store Sync, Add product browses only the shop the app is open in. Switch back to that shop to add its products.
  • Edit a draft order here. Draft orders have their own editor; see Draft orders.
